Previous Updates to the NetDocuments Service

Previous Update - 2010 #5  - November  18, 2010 - 11:59 pm EDT (8:59 pm PDT) - This update requires NO updates of client software including the Active X, so there will be no need for any preparation or action for users.  The primary purpose of this udpate is to provide the iPad and iPhone application along with a few other miscellaneous items as shown below.

  • iPad and iPhone Interface - provides an application when using the iPad and iPhone.  While we complete the App store program, if you want to use this, go to the Safari browser and enter https://vault.netvoyage.com/neweb2/doccent.aspx in the address and then click the star at the bottom to make it a favorite icon.

  • ND2 Logout option - When using the alternate ND2 interface, there is now a Logout option available.

  • Sort Lists in ND2 - The ND2 interface now allows sorting in list views.

  • Collaborative editing in Zoho - when using the Zoho option, you can now collaborate simultaneously with another user.

  • Mass ACL change via SOAP API - Provides API capability for doing a mass access change.

  • Mass Copy - option available to Administrators to copy large numbers of documents between cabinets.

  • Adjust productivity options - provide two functions for creating PDF documents and comparing documents.  These features are beta status and are currently available to all users.  In the future they will become components of a future fee-based option.

  • Default new workspace template description - the new default description will apply to any new workspace templates created.  It is shorter and tells users that workspaces are shared views.

  • Pinning with IE9 and Windows 7 is supported - provides and option to pin NetDocuments webpages to the Windows task bar for easier access.

 

Previous Update - 2010 #4  - October 14, 2010 - 11:59 pm EDT (8:59 pm PDT) - requires a new Active X. Includes a new Application Integrations, new EMS Folders, new EMS Profiler, and folder import utility.  If you experience on page errors after the update, clear your browser temporary internet files.

  • Auto Check-in after Copy - If the Auto-Check-in feature is enabled in the Word integration, we now automatically check-in the original document after saving it as a new document.

  • Increase Document Name limit - the document name limit has been increased from 100 to 200 characters.

  • Email To in List Views - Allow "Email To" to be included as a column in list views.

  • Alert when a document is added to NetBinder - an alert can be created to notify when a new document is added to a NetBinder.

  • User Interface changes - icons have been updated.

  • Move "Send to" into Inbox - a user can now move the ND- Send to NetDocuments folder in EMS Folders into the Outlook Inbox if they choose.

  • Allow drag and drop between folders on a workspace page - provide this capability in workspaces.

  • Folder Import to workspace - Folder Import can now use a workspace as an import destination.

  • Manual check in as new version - Explicitly checked out documents can now be checked in as a new version of an existing document from the browser.

  • Top level folder drag and drop - allows drag and drop between top-level folders on a workspace page.

  • New simplified LD Service Installation - the installation of the LD Server has been modified to make it easier.

  • Unfile a document when re-profiling it - when a document is re-profiled in a workspace, it is now, not only moved to the new folder, but it is also removed from the current folder.

  • SOAP API Delegated Authentication - Allow users to authenticate via the SOAP API without providing their NetDocuments username and password.

  • Beta Textflow integration - A beta release of Textflow is included.  Textflow is a comparison tool which will later be part of a bundle of new online capabilities.

  • Check in via email - provides an option to check in a document.  It is used primarily with the ND2 interface and mobile devices such as the iPad.

  • Ability to create a PDF attachment - you can now create a PDF attachment of a document.  Requires no local software.

  • No Value option when multi-profiling - when you do a multo-profile change, you can enter No Value if you want the field to be blanked out.

  • Create PDF Attachment - you can create an attachment for a document and store it as the attachment to the document.  It can also be emailed.

 

Previous Update - 2010 #3  - July 22, 2010 - 11:59 pm EDT (8:59 pm PDT) - requires a new Active X. Includes a new Application Integrations, new EMS Folders, new EMS Profiler, and folder import utility.

  • EMS Naming - with the release of the new EMS Profiler software, the current EMS has been renamed to be EMS Folders and the new EMS client is called EMS Profiler.

  • Document Index - Users are now able to generate a report of documents in a folder tree.

  • Disable Auto-versioning - allows users to turn off auto-versioning on a document where it has been enabled.

  • Email check-out warning - a warning is displayed if a user attempts to email copies of documents that are currently checked out.

  • NetBinders limits fixed - NetBinders will no longer encounter an error when certain numbers of documents and/or users are added to the NetBinder.

  • Office 2010 Integration - Office 2010 is now supported for Office 2010 Word, Excel, Powerpoint, and Outlook.

  • Partial Versioning in Integrations - this method of saving is now supported in the Office integrations.  It is not the default and has to be set manually if desired.

  • Approvals when using NetBinders - previously moving a document into or out of a NetBinder would rescind the approvals.  That is no longer the case.

  • Email Address for Workspaces - the email address is now provided for a workspace so that documents can be emailed into a workspace.

  • Convert ndnod to a real document via API - you can now change this via the SOAP API.  Previously it was only available with the HP SDSS software integration.

  • Remove Word template from integrations - we removed the Word template preservation we added in R1 because it caused other issues.

  • Safety copy with API - provides a safety net document called NetDocuments Recent when uploading fails, so a user can easily locate the document in My Documents.

  • Insert Attachment with Version - allows versions and attachments to be inserted in a single operation when in document select mode.

  • Support Office 2010 with EMS Profiler - EMS Profiler will be released for Outlook 2003, 2007, and 2010.

  • Support Office 2010 with EMS Folders - EMS Folders will be released for Outlook 2003, 2007, and 2010.

  • Auto File with Edit Profile - if you complete a profile for an existing document, it will be auto-foldered or categorized based on the attribute selected, which is generally the Document Type field.

  • Filing Interface Clarification - simplified the interface for filing into a folder or a workspace.

  • Profile Tree after Drag - perform profile inheritance on an entire folder tree after a drag/drop operation.  Used when dragging a folder tree to a workspace so the key attributes are profiled.

  • Extended Restircted UI Mode - The Interactive API's restricted mode is extended now to the folder and workspace pages.

  • Choose output format for CompareDocs - a user can now choose the output file to be either docx if the input is Word or PDF for other documents.

  • SOAP API supports Approvals - the SOAP API can now retrieve document approvals.

  • SOAP API additions - you can now retrieve creation date and checked out status with the API.

  •  Approvals are not rescinded when moving to a NetBinder - when a document is moved in or out of a NetBinder, approvals are now retained.

  • Browser window title - when in a workspace folder, the browser window title includes the word - NetDocuments after the folder name.

  • Email option added to Workspace - the email option is now added to the workspace to allow you to forward an email into a workspace.

  • EMS Profiler install added to Application Settings - with the release of EMS Profiler it is now included in the UI on the application settings page.

  • Clear a date field with SOAP API - you can now clear out a date field with the API.

  • Change Save Local default - it now defaults to Other Folder and is sticky in a session if you change to Briefcase Mode.

  • Save Read only files in Outlook - you can now oepn and save an email attachment in Outlook from the reading pane where attachments open in read only mode.

 

Previous Update - 2010 #2  - May 6, 2010 - 11:59 pm EDT (8:59 pm PDT) - requires a new Active X. Includes a new Application Integrations, new EMS, and folder import utility.

  • Separate Check In from List - Make it easier to check in all closed documents by separating the two functions.  You no longer need to use Control when clicking the Check-in list to check in all closed documents.  You can still check in a single document or a new version using the List link.

  • Custom Menu Full Width - On the Customize right click menu, extend the drop targets to make dragging and dropping options easier.

  • Retrieve version with API - see API documentation for more detail.  Allows better integration when using versions.

  • Updated Login page - improved look and feel for the login page.  Also simplifies usage of RSA integration.

  • EMS Profiler - provides an additional interface for EMS which allows quick profiling of emails when archiving to NetDocuments. (Outlook 2003 & 2007 supported) NOTE: This feature will be available as a beta until R3.

  • Suggestions for workspace criteria - Simplifies the creation of categories by providing examples to create common criteria.

  • Default Copy for External Users - External users will now be prompted to copy instead of move when importing documents.  Includes NetBinders.

  • Optimize workspace category display - only the items displayed in the category will be searched initially, improving performance.

  • 3rd party Downloader - includes functions to provide services as a 3rd party downloader.  Meets requirements required for financial services firms.

  • Lookup dialog standardization - Doesn't submit the form now when the key or description is selected.

  • NetBinder Notification change - When a MAPI notification is sent, the NetBinder is not closed now. (previously it was closed)

  • Add workspace folders via SOAP API - Allows folders to be created under workspaces with the SOAP API.

  • MAPI Registry settings - these are now case insensitive.

  • Workspace default - the My Workspace/Recent Workspace default is now moved to be on the workspace dialog instead of My Account.

  • Remove unused fields on Profile definition - The "Force Uppercase" and "Allow punctuation" options have been removed from the Profile setup dialog.

  • Change "Lock" to "Lock version" - the word version has been added to the Lock option to more correctly explain its function.

  • Simplify saving links - the naming of a link has been simplified when you are saving a web link.

  • "A" rights not required to copy into a NetBinder - we now allow you to copy a document into a NetBinder without requiring A rights.

  • Navigation display changed in API - the API now supports non-expansion of the navigation pane when using the small display mode.

  • Change importing .doc files - the Import existing option now changes .DOC to .doc when importing Word documents. (resolves an OpenOffice issue)

 

Previous Update - 2010 #1  - February 25, 2010 - 11:59 pm EDT (8:59 pm PDT) - requires a new Active X. Includes a new Application Integrations, new EMS, and folder import utility.

  • NetBinder Logo - Allows a customizable logo to be associated with a NetBinder.

  • Delegate Lookup Table Uploads - Allows repository Administrators to delegate lookup table uploads to non-administrators.

  • Update Category Display - When a categories criteria is changed, the user will more readily see those changes.

  • Native Image Viewing - JPG and gif files will now use the native program to view when selecting the View option.

  • Change Pro Integration - we now provide an integration for those customers who use this comparison software from Litera.

  • Support Salesforce VisualForce pages - All S-controls have been replaced with new VisualForce pages.

  • Internet Accelerator - we now provide an internet accelerator for faster response around the world.

  • Automatic versioning - a document can now be configured to so that new versions are created when different users edit it.

  • Workspace Aliases - Users can now change how workspace names are displayed for them in the navigation pane and the workspace list dialog.

  • Change indexing for top-level folders - top-level folders are now displayed immediately to avoid the delay in indexing.

  • Support xlsx editing in Zoho - Zoho now supports both xls and xlsx formats now.

  • Default columns when creating workspace folders and categories - the columns are now defaulted to make it easier to create these.

  • Subfolders can be copied into their own parent folder - this was not possible before because of the duplicate name.

  • Provide Auto-check-in option for Excel integrations - we now officially support an auto check-in option for the Excel integrations.

  • Preserve Word Template when cancelling - we now restore the original template when a user cancels a Word save for a new document.

  • Editing html documents with the Zoho editor - you can now use the Zoho editor to edit html documents.

  • Do not display check out message for web links - when you open a web link, it will not display the Check out prompt.

  • Multi-select customizable menu - when using right click menu with multiple items, customized options will appear now.

  • Simplify non-repository users navigation -  accessing received NetBinders is easier.

  • Customized home pages for non-repository users - NetBinder-only users now have a customizable home page.

  • My Cabinet usage - users who do not belong to a repository, can only add documents to NetBinders.

  • Logout on NetBinders - a logout link is now provided on NetBinders

  • Users can disable gleams - by entering 0 a user can not display any gleams.

  • Allow a subfolder to be copied into its own parent folder - when copying a subfolder if it has a duplicate name, it will continue and append "copy".

  • History is now easier to view - the option is changed to View now.  Once viewed, it can be printed if desired.

  • Preserve NetBinders associated with a workspace when re-organized - NetBinders directly added to a workspace are not affected by a re-organize.

  • Support Metadata Assistant version 3 - we now support version 3 of this 3rd party application.

  • Titles on Browser windows are now more consistent - the names displayed for the title and in the tray have consistent names now.

  • Groupwise icon is now displayed - for any Groupwise messages, the proper icon is now displayed (gwi extension).

  • When viewing, display search result - By clicking the search button or Enter, the cursor moves to the first hit and then subsequent hits.


Previous Update - 2009 #5  - October 29, 2009 -
11:59 pm EDT (8:59 pm PDT) - requires a new Active X. Also includes a new EMS 2.0, applications integrations, folder import tool, and local document server software.

  • Preserve Navigation Pane State - This is at the top of the Idea Bank list and allows the navigation pane to remain expanded when navigating.  Requires Internet Explorer 8, but it is a change that may make updating the browser worth it.

  • Navigation pane scrolling - provides a separate scroll for the navigation pane.

  • Customizable Right Click Menu - this is another top item from the Idea Bank.  When you right click on a document, you have an option to change the menu to have the options you use the most.  You can display up to 20 options.

  • Locked Version description - a user can now add a custom description when creating a new version from a locked version.

  • Outlook Multi-Message Import - the NetDocs Save button now appears on all Outlook folders including the Inbox, so that you can save more than one message at a time into NetDocuments. This is a change that has been high on the enhancement list for a lot of users.  Requires Outlook 2007.

  • Preserve Workspace name with Reorganize option - an existing workspace name and description will not change now when using the reorganize option.

  • RSA SecurID Integration - NetDocuments now supports the RSA two-factor authentication for those that desire that additional benefit.

  • Display NetBinder as a workspace section - you can now create a NetBinder in a workspace to display like a folder.  Documents can be easily dragged into it for external sharing.

  • Retention Policy Description - a description can now be added to describe each retention policy.

  • Integrate with Word Compare - there is now an integration with the Comparison function built into Word 2003 and 2007.

  • Import Document in NetBinder in ND2 - when using ND2 with NetBinders, you can now import a document when you have E rights to the NetBinder.

  • Add Multiple workspaces to Home page - you know have an option in the Workspace dialog to add multiple workspaces to your Home page.

  • Prompt for Cabinet Protection - a prompt is added for new cabinets asking if you want to add deletion protection to the cabinet.

  • Collapse Workspace Sections - you can now temporarily collapse sections in workspaces to more easily modify the workspace layout.

  • Collapse Workspace Template Sections - you can also collapse sections on the workspace template to more easily organize the layout.

  • Back button in Help is now restored - the Browser back button can now be used to navigate to previous Help page.

  • Using Attachments - when in select mode, clicking on an attachment name will select it.  The Email and Delete buttons are hidden in this mode.

  • Opening multiple versions - you can now select multiple versions to open when on the versions dialog.

  • Background ACL and Profile Change - Performs these functions in a background mode.  Limit raised to 10,000 items.

  • Change folder tree access from top folder - makes it easier to change access for a folder and its contents.

  • Folder Import utility date range added - the Folder Import utility now allows a selection of date ranges for documents to be imported.

  • Folder Import Logging - provides a log when using the folder import utility of the status of the imports.

  • EMS Multi-User Installer - the new EMS allows EMS to be installed per machine and not per user.

  • Provide Organizing Categories - workspaces now can be created with either organizing folders or organizing categories.

  • Using the Next option on the View page and changing profiles - users can now edit profiles and then click next to edit the next document in the list when using the viewer.

  • Provide integration with Linked profiles in Salesforce - users can now have linked profiles be pushed to NetDocuments when using Salesforce.

 

Previous Update - 2009 #4  - August 20, 2009 - 11:59 pm EDT (8:59 pm PDT) - requires a new Active X. Also includes a new EMS 2.0, applications integrations, folder import tool, and local document server software, .

  • Prevent external user Notifications - Add a cabinet-level flag that determines whether external users can use the Notify option.

  • Launch CompareDocs with F9 key - When F9 is pressed on a list view page, it launches CompareDocs if it is present, in the same way it does DeltaView when it is present.

  • Create attachments via the Client API - Allow attachments to be imported via the Client API.

  • Cancel document transfer - Add a cancel button to the document upload and download progress dialogs.

  • Adobe Integration is now in the Workstation Configuration Wizard - The Adobe Professional integration is now added to the other items that can be installed via the Workstation Configuration Wizard.

  • Truncate "email to" display - Truncates the display of the "Email to" field to 50 characters when it appears in a workspace view.

  • Date Ranges on Email Search - A date range is now provided to give users more flexibility in selecting dates on the Email search page.

  • Unicode document names - Allow Asian, Hebrew, and Arabic characters to be used in document names.

  • Set Workspace ACL via SOAP API - allows the setting of the ACL now with the API tools.

  • Sort Home Page Section - Provides an option to sort the entries in a home page section.

  • Approval remains when moved to a NetBinder - documents that are approved now retain that setting when moving to a NetBinder.

  • Save Local page defaults "no List" - when saving a document now, the default is not to include a list.  Previously it defaulted to save the XML list.

  • New Viewer software - new viewer technology has been implemented using flash-based technology.

  • Unfiling warnings - Help users understand the implications of unfiling documents and help them avoid doing it accidentally.

  • Change modified prompt - on the advanced search page, the prompt "modified" is changed to "last modified".

  • LD Server on a remote host - the Local Document server can now use SQL Server on a remote host machine.

  • iPhone ND2 access font increased - when using ND2 on the iPhone, the initial font is now larger.

  • Search Result Paging - now provides ability to adjust the number of search results from 20, 50, 100, 200, 500.

 

Previous Update - 2009 #3  - June 18, 2009 - 11:59 pm EDT (8:59 pm PDT) - requires a new Active X and new EMS 2.0.

  • No Message Email Address - Allow users to indicate in the folder "To" address that a message sent to NetDocuments should not be stored as an email message, but rather just import the document attachments.  Example: nnnn.nnnn.nnnnNM@mail.vault.netvoyage.com  Notice that NM is inserted after the folder ID number using either upper or lowercase.  With this method, you do not have to put NM in the subject, which will make it easier to use when scanning to an email address.

  • EMS "foreign" folder retention - If the EMS archive encounters a folder that was not created by EMS in an invalid filing location, its contents are left alone and an error will be displayed describing the issue.

  • Background Workspace Population - When a workspace is created or reorganized, if auto-filing is enabled and there are many documents to be filed, the folders will be created in a background process. Also the limit on the number of documents that can be auto-filed will be raised to 1000.

  • ND2 Interface shows sections in NetBinders - when using this interface, you can now see the section headings in a NetBinder.


Previous Update - 2009 #2  - April 16, 2009 - 11:59 pm EDT (8:59 pm PDT)
- requires a new Active X (4,3,3,4). Includes a new Application Integration MSI, new EMS 2.0 (2.6.1), and new Folder Import utility (3.1.8).

  • Ability to lock versions - We now have a feature where you can lock any version of a document from future editing.  This lock cannot be removed in anyway other than deleting the document.  A description of why the lock was made can also be entered.

  • Multi-document Import into NetBinder - allow multiple documents to be imported at once into NetBinders.

  • Streamline NetBinders - NetBinders function more like other documents now with the standard options.

  • Review on NetBinder - the review option is now available when in a NetBinder.

  • Barcode scan to Folder - allow a new document to be scanned into a folder via a barcode identifying folder.  This uses the SDSS HP scanner software.

  • Initiate workspace search from EMS - on the Search Emails page, you can now enter the EMS key such as Matter to search.  If you highlight a workspace and click the Email Search button, it will automatically complete that search field.

  • Eliminate breakouts - this was a feature that was not used in NetBinders.

  • OpenSearch Suggestions - When using IE8, if you are logged into NetDocuments, and any workspace title is included in the search, we will add search suggestions for that workspace.

  • Import Outlook Receipts - we now support read, delivery, and recall receipts in EMS.

  • Show folder after new document creation - when creating a new document, the user is no longer taken to the Profile page.

  • Improve Document Opening speed - when downloading a document, the process has been streamlined to increase performance.

  • Workspace Right Click menu enhanced - new options have been added to the right click menu when in a workspace.

  • Display versions dialog over list views - when opening a version, we no longer take the user to the Profile page.

  • MSI Installer for Cryptography - this Active X installer is now part of the neWEBcl MSI installer for the Active X.

  • Avoid External User Profiling - external users are no longer prompted to complete a profile when adding or opening a document.

  • Retrieve Snippets via SOAP API - allows snippets to be retrieved using the SOAP API.

  • Avoid adding duplicate workspace - you now cannot add a workspace twice to My Workspaces.

  • Fixed width custom profiles - this allows you to automatically pad client/matter numbers with leading zeros.

  • Avoid duplicate folders when auto-filing - duplicate folders will no longer be created when auto-creating folders based on document types.

  • Profile link replaced with Info link - on Home and Cabinet pages, the Profile link for a document will be replaced with the Info link.

  • Show Workspace option - you now have an option for a document similar to Show Folders, that will show you the workspace it belongs to.

  • Workspace Template Examples - provides some examples for the workspace title in the template.

  • Zoho Sheet and Show integration - we now support online editing for Word, Excel, and PowerPoint type documents using Zoho.

  • Scrolling modified on the Review page - improvements have been made on the scrolling of the Review page.

  • Me link added to Email search page - When clicked it puts the current person’s email address and name in the field automatically.

  • Require certificate-based authentication - provides the option of restricting access outside of the office.


Previous Update - 2009 #1  - January 8, 2009 - 11:59 pm EDT (8:59 pm PDT)
- requires a new Active X. There is also a new EMS and new Word integrations, if you are using our integrations.  Go to Start, Control Panel, Add/Remove programs to remove the old EMS and Integrations and then go to My Account to install the new updates.

  • Purging Adjustments - adjustments have been made to the purging processing so that it can be run more frequently.

  • Retention Policy History - a history is now kept showing all purging rules.

  • Delete Attachments - provides an option now to delete attachments.

  • Word Import as New Version - Allows a non-ND Word document to be saved as a version of an existing document using the Word integration.  This will work for attachments received in emails and also locally saved Word documents.

  • Right Click Copy URL - we have added easier access to creating of a document URL by adding it to the right click menu.

  • History Data Download - we now provide a download of a document history that will then allow local sorting of the data in an Excel spreadsheet or database.

  • Customize Auto Created Folders - when workspaces are defined to automatically create folders, you can now define the columns to displayed on those folders.

  • Background Storage Calculation - we have now revamped the cabinet storage option so that it works properly.

  • CompareDocs Attachments - Adds the ability to import compareDocs comparisons as attachments or linked documents.

  • Security Options for Review Discussions - provides options for setting security on discussions created from the Review page.

  • Local Document Server Update - Includes SQL Server 2005 Express so users of Vista and Windows Server 2008 will have a database that is supported by Microsoft.

  • In EMS, store Archived Emails as PST files - you will now have the option to drag the ND - Archived Folder to your personal folders area to be stored as PST files.

  • View workspace inside of Outlook - When the NDView button is selected in EMS, the view will appear in Outlook as opposed to a separate browser window.

  • Hide single EMS cabinet - when a user has only one cabinet, a folder for the cabinet is not created in EMS.

  • Verdatum integration - we now provide an integration with the Verdatum digital dictation system.

  • Immediate Purging - with the Document Retention rules, we now provide an immediate purging option.

  • Select Official Version with Append - we now let users choose which version will become the official version after an Append versions operation.

  • Zoho integration now supports Word 2007 format - a user can now use Word 2007 when using the Zoho integration.

  • Folder menu more expanded - we now expand more of the options when on the folder menu.

  • Improve NDSearch Analysis Add-in - email entities are now listed as active email address links.

  • Emails I send and receive includes all extensions - now when you click one of these options on the Email Search page, it includes all emails regardless of whether it is a .msg format or not.  This will allow emails that are forwarded into NetDocuments to be included in those search results.

  • Change order of items on Mark list - when selecting items on the Mark list for Mark/Launch in the versions dialog, the oldest version will be listed first.

  • Add Folders in extension dropdown on Advanced Search - you now have a folders option to pick from instead of needing to enter the code manually.

  • Protected Cabinets - Allows administrators to protect a cabinet deletion by setting the Protect option.

  • Lookup Dialog List Toggles improved - the dialog has been improved for easier access to lookup tables.

  • Check in List modified - the check in and check in as new version options are more visible now on the Check in list.

  • Creating a category defaults to the search cabinet - when selecting a single cabinet, the cabinet for the Category defaults to the same as the search cabinet.


Previous Update - 2008 #5  - October 2, 2008 - 11:59 pm EDT (8:59 pm PDT)
- requires NO new Active X.

  • New EMS - a new EMS is provided as part of this update.  It contains a number of changes in how EMS currently works.  It is much simpler to setup and to use.  With the release of R5, the new EMS will become the fully supported EMS.  Customers should switch to the new EMS as soon as feasible.  We will continue to answer questions for the current EMS, but no changes to the software will be made.  If an issue using the current EMS cannot be resolved, using the new EMS will be the only solution.  The current EMS will not be available or supported at all after June 30, 2009.  See Help for more information.  View this video to learn more.

  • Archival Cabinets - provide a non-rewriteable, non-erasable storage as required by SEC rule 17a-4.

  • Links (URLs) now open directly from within list views - when a link is opened from a list view, it now functions the same as it does from the home page.

  • Mass Delete - ability for administrators to delete multiple documents at one time.

  • Delta View storage options - With a cabinet level flag, you will now be able to store Delta View comparisons either as attachments or as linked documents as is currently done.  With the attachments option, one redline per document can be saved. (If this feature is used, it will most likely require additional training)

  • Delta View keyboard shortcut - You can now use the F9 key to invoke the Delta View feature.

  • Accelerators on View Page - Keyboard shortcuts have been added on the View page - (Ctrl+Shift+P) for Previous and (Ctrl+Shift+N) for Next.

    NOTE:  The Direct Document Open functionality requires you to work a little differently as described below:
     
    1.  When you open a document from a List View page, the page no longer switches to the Profile page.  Now the document opens directly and the page underneath stays the same.
     
     2. After you close the document, you will return directly to the List View page where you started.
     
     3. You must then click the red Check In button to complete the document check in - otherwise your changes will not be uploaded and the document will be left checked out.  Alternatively, you can right click on the Active List in your Windows tray and select Close to check in the document.
     
     4. If you navigate to another page or select an option on the List View page and do NOT click the red Check In button, the document will remain in the Active List and your changes will not be uploaded until you check it in from the Active List.  (The document will continue to have the black check box next to the name indicating that it is checked out, but it will not have the red Check In button if you navigate away from the List View page.

    Basic rule = After closing your document, check it in by clicking the new red Check In button OR right click on the Active List in the tray and select Close to check it in.

    (Your organization may be using an Application Integration utility that automatically checks the document in for you after you close it.  If you do not see the red Check in button or the black checked out icon next to the document name, then you will not need to follow the steps above.)

  • Support for Windows XP Service Pack 2 Phase 2 - User Interface changes to better accommodate requirements in Windows XP Service Pack2.  These changes streamline and simplify the pop-up dialogs and allow NetDocuments to function without being set as a Trusted Site.

  • Extended Searching Enhancements - Additional capabilities will be added related to security and searching for the Local Document Server.  These changes will allow us to provide an interface to a number of search engines, one of which will be Google.  This feature is a fee-based option.

  • Import Documents with the ND2 Interface - on devices that have local storage, ND2 Interface users will now be able to import documents into NetDocuments.

  • ND2 Pricing changed - the ND2 interface is now available without charge for desktop configurations used for primary access.  It is charged only for devices such as Blackberrys and other handheld devices used as secondary access devices.

  • Documents pushed to Blackberrys - using the Blackberry "Push" technology for notifications and alerts, documents are now uploaded to the Blackberry when the email is delivered for quicker access to the documents.

  • Virus Checking Add-on - a new feature to allow customers the added protection for their documents against Viruses at the server level. This feature is a fee-based option.

  • Refinements to NDSync - additional changes to improve NDSync related to Outlook and Windows.  Outlook will provide one-way synchronization and a method to deactivate NDSync will be provided.  It also can be used with multiple folder trees in Outlook.

  • Search Date Entry - the Advanced search accepts dates in the user's local format now.

  • Folder Import Logging - the Folder Import tool now provides logging when importing.

  • Lexis CheckCite Integration - users who have the CheckCite v8.0 software installed with a Lexis account are provided an integration with NetDocuments.

  • Administrator alerts for NetBinders - Administrators now receive an alert email when a NetBinder Contact is added to a NetBinder by a Repository User.

  • Zero can be entered for date searches - users can now enter only a zero when doing relative date searches, whereas previously a plus or minus had to also be entered.


Update 2004 #8 (September 30, 2004 - 11:59pm EST)
- requires a new Active X download.

  • NDSync for Outlook - NOTE: This feature along with the NDSync for Windows, which was made available previously, will be made available with this update only for a few selected beta sites.  It is anticipated to be released for production at the end of the year (2004).  Customers who may be interested in reviewing it before it is officially released, should contact NetDocuments Sales for more information. 

    NDSync for Outlook allows a user to define a set of Outlook folders where any email placed into them will be synchronized with corresponding NetDocuments folders.  Once synchronized, the emails are available via the Outlook interface and are also available in NetDocuments to all users with rights. This is a separately priced feature along with the NDSync for Windows feature made available previously. Please contact NetDocuments Sales if you have interest in purchasing this feature.  More information is provided in the Help.

  • Save Local Copies Security - a Cabinet Administrator can now define a User Group for the purpose of restricting the usage of the recent Save Local Copies feature to only members of that User Group.

  • Reject multi-address incoming email - disallows an email being sent to more than one NetDocuments email address.  You can still use multiple email addresses, but only one NetDocuments email address that points to either a folder, category, or document.

  • Incoming email source restrictions - provides a Cabinet Administrator the ability to restrict who can email documents into a Cabinet if desired.

  • Recent Categories List - provides a new menu option in the Navigation section of the menu to more easily access recently used categories.  The last 10 categories accessed are displayed in the dropdown list.  The feature also provides two new canned searches for a user to locate "Documents recently created by the User" and "Unprofiled documents created by the User".

  • Support for Windows XP Service Pack 2 Phase 1 - initial changes to better support the new Windows XP Service Pack 2.  These changes will be invisible to most users.  A second part of this enhancement streamlines the interface by eliminating some of the pop-up dialogs so that it works better with the Service Pack 2 changes. 

  • Default List View - this change allows Administrators to set a Repository level flag to provide users with a default List View format.  It does not affect existing users nor users who have defined their own List View format.

  • Excel Application Integration - provides an integration for Excel with NetDocuments.  This can be downloaded from Help, Resources, Software Downloads.  It will not work with older Excel versions.  It is available without charge.

  • API Change for integrations - when using an integrated application, and saving a document, you will now be returned to the last accessed page instead of the Home Page.  This will only work with integrations that have been updated to accommodate this change.

  • Checked out icon now available on NetBinders - the new "checked out icon" displayed on List Views is now also available on documents displayed in NetBinders.


Update 2004 #7 (August 11, 2004 - 11:59pm EST)
- requires a new Active X download.

  • NDSync for Windows - provides an option for a user to work from their Windows folder environment and have their documents synchronize automatically to NetDocuments. This is a separately priced feature. Please contact NetDocuments Sales if you have interest in this feature.

  • Save Local Copies - provides an option to copy and save a set of documents to a local disk or to a CD.

  • Blackberry/PDA/Universal Access - Integration with various devices including non-Windows based computers. Because of the limitations of some devices editing of documents may not be available.  A future update will include a checkout option to edit documents on devices which have edit capabilities such as MACs. This is a separate fee-based feature.

  • Forced Check in improvement - when a document is checked in by someone other than the current person, the edits are saved back as a new version of the document.

  • Partial Folder Profiles - to better facilitate the creation of folders, the completion of partial Profiles is now allowed.

  • Profile Indexing Enhanced - All characters and numbers are indexed in all Profile fields.  Previously, stop words were not indexed.

  • Provide Carbon Copy option for notification - Provides ability for recipients to see others who received a document notification when not using the MAPI integration.

  • Quick access to the Security dialog during the Import process - whenever a document is imported, users will have the option to modify the document rights during that process.

  • Display other (carbon copy) Notification recipients - when using standard Notifications, email messages will include all recipients.

  • Ability to copy to a folder/cabinet - you now have the option of selecting a different folder/cabinet when copying a document.

  • Active Login - NetDocuments users can enable an automated login option in My Account, if the users organization utilizes Microsoft Active Directory services. (requires Active Directory Services and Windows XP and higher client machine and only works when that Service is available to the user)

  • Active Security Integration - optional paid feature which provides the ability for the administrator to restrict the NetDocuments access only to individuals assigned to a specified domain.  If the option is set and a user accesses NetDocuments from outside the domain, access will be denied. (requires Active Directory Services and a Windows XP or higher client machine and only works when that service is available to the user)

  • Partition External Users in a Repository - provide the ability to include "external" users as part of a repository membership for extranet purposes.

  • View-only extranet options - external people in an extranet who have View rights only to a document have a limited feature set.

  • Persistent Repository on searches - add persistence to the Repository field on the Advanced Search page.

  • Document Selection in API - provide method to allow a user to select a document for subsequent action to be used for merge operations, inserting a file into another file, documents comparisons, etc.

  • Multiple document MAPI Notifications - provide option to send notification for multiple documents using a MAPI interface to your local email system.

  • Most recent personal lookup values - for faster Profile creation, the most recent lookup values entered in each table-driven Profile field will be cached for each user.

  • Search by Calendar Event date - provide a searching mechanism for calendar dates by selecting the "ndcal" extension during searches.  Calendar date ranges will appear.  This allows Categories to be easily created to manage calendar events.

  • Improved Document links in Profiles - improved ability to view documents that have common ID links in the profile fields. An option now appears on the Profile, called Linked documents, which shows other documents which may be linked to the current Profile.

  • Improved Import Utility - the import utility performance has been greatly improved and users can now be specified by email address or username.

  • Create and modify Categories via the API - add a new call to the API to facilitate improved usage of Categories with the API.

  • Cabinet Pages - ability for a cabinet administrator to create a page similar to a users Home Page, which will be a view for all cabinet users to use to access documents, folders, etc in the cabinet.  It will be used primarily for Extranets, but will be available for all cabinets.

  • Add subsequent merges to the Merge option (append versions) - this allows subsequent merges to be made and user selection of order by using the Mark and Launch feature.  The feature will be now called Append Versions available under the Mark/Launch option.

  • Versions added to list views - users can add a column on views such as folders, search results, etc. to see or access additional Versions.

  • Assign version number after version is created - avoids "wasting" a version number when canceling the creation of a new version.

  • Notify Others link added to the Info dialog - the File in Folder option in the Info dialog is replaced with the Notify Others option.

  • Worklist renamed - to Recently Opened Docs to improve user understanding and to avoid confusion with work accessed from Home Pages.

  • Streamline Browse Cabinet page - reformat display so it only displays the related cabinet information.

  • Multi-day Calendar events - provide ability to input a date range for a Calendar Event.

  • Edit Profile prompt when copying - when a stand-alone document is copied, the user is prompted for the Edit Profile dialog.

  • Show access list for new categories - when a new category is created, the user will be prompted with the access list.

  • Administrator deletion option - an administrator can determine whether users or just administrators can permanently delete documents.

  • Email Reply tracking - if a NetDocuments user sends an email with an attached document from NetDocuments and the recipient edits the document and mails it back and that document is imported back into NetDocuments using the NetDocuments Outlook integration button, it will be added as a new version to the original document.  This is also the case, if the document is imported via the ND AutoImport folder.  The standard NetDocuments document import will continue to import any document as a new document.  To be used, a user must download a new Outlook Integration by going to My Account, Applications Integrations.

  • Outlook Attachment Integration - this feature allows you to import a document attaches to an email into NetDocuments and enter its profile from a button on the Microsoft Outlook client interface.

  • Ability to more easily Move/Copy documents in a NetBinder - An option is being added to move or copy documents that are in a NetBinder.

  • Ability to move to a folder within a Cabinet - you now have the ability to move a document to a different cabinet and to a specific folder in the cabinet.

  • Email attachments into NetBinders - whenever an email is sent or forwarded to NetDocuments that has one or more attachments, it is always placed into a NetBinder with the Cabinet default access.

  • Validation of Custom Profile Fields - Enterprise Corporate Accounts will be able to feed information to validate custom fields that they have setup. This feature is only available for the Enterprise service level.

  • Revised Edit Saved Query Criteria - this page has been changed to be similar to the Advanced Search page to provide easier editing for users.

  • Default application when Adding a new Document - when you add a new document, the application will now default to the previous application that you selected. For example if you last created a Microsoft Word document, and you wanted to create another document, the application type, would default to Word.

  • Search multiple Document IDs - provides the ability to search more than one document ID during one search. This is especially useful for Saved Queries of favorite documents.

  • Search relative dates - you now have the ability to enter a "relative" date, which allows you to locate document lists such as "all documents that were created during the last week".

  • Back-end Versioning - this change allows a user to edit a document and then decide if it should be saved as a new version as opposed to overwriting the original text. This feature is only available for accounts with Versioning.

  • Multi-name Select in Notifications - This option allows you to select multiple names on the Notification dialog using the shift or the control key.

  • Change the automatic logout from 20 minutes to 45 minutes - This change will provide additional convenience for users, especially when working in their offices. NOTE: This change took place prior to the release on March 28, 2002.

  • Definable Search Results and Worklist pages - ability to define your own Search Results display fields. Also includes the ability to select a column to sort. This feature is available for all users, but is more beneficial if you are using Custom Profile fields which are available for the Enterprise Accounts.

  • Sorting columns in Search Results and Worklist pages - this change allows you to sort columns of data on either of these two pages.

  • Document Comments (Notes) - capability which is part of the Custom Profile fields for documents. This commenting feature is tied directly to a document, unlike the Discussions feature, which is independent from documents. This feature is only available for the Enterprise service level.

  • Search Queries - Search Queries can be saved, assigned access rights, stored unfiled or in a folder, and activated from multiple locations by clicking the stored link. This feature is only available for the Enterprise service level.

  • Search Result Highlighting - By selecting the View option for a document, you will see the words highlighted that were part of your search criteria. PDF files are not included in this change. This feature is only available for the Enterprise service level.

  • Limits on using more than one account with the same email address - Created to provide better security for user accounts. Users will be restricted from creating more than one account with the same email address. This change does not affect existing accounts that may point to the same email address.

  • Better provisioning for Profile Edits of new documents - This change provides better prompting for custom Profile fields when adding or copying new documents. This feature is only available for the Enterprise service level.

  • Search on application extension - this feature allows you to search on application extension, such as .doc for Microsoft Word, .xls for Excel, etc.

  • Client API - provides ability to access Profile data to be used in Word and other Macros.

  • Change NetBinder Notifications - with this change, when a NetBinder or its contents are modified, the popup notification dialog will be eliminated. The Notify Others button will appear instead in the top right corner of the NetBinder, so a user can click it to notify recipients of changes. This change creates a distinct difference between the Notification and Alert functions. When a Notification is sent, everyone on the list will be sent the N notification. The Notifications will now work the same as on a stand-alone document. Senders can include a custom message in a Notification email.

    When an Alert is setup by a recipient on a NetBinder, that recipient can define the Alert to be received for certain documents and editors in the NetBinder. NOTE: Alerts are available only on NetBinders. Stand-alone documents and other objects outside of NetBinders, do not have the Alert feature.  

    Notifications are now initiated by the Sender and Alerts are initiated by the Recipients. If a sender sends a Notification and a recipient defines an Alert, the recipient will get both messages. The Notification will always be sent to the Email address in My Account for all users. An Alert can be setup to be received at one or more email accounts, cell-phone email address, etc. as defined by the recipient on each NetBinder.

    All existing NetBinders will have an Alert defined. If you want to eliminate the Alert on a specific NetBinder, open the NetBinder, then select the Edit Alerts option and select the Delete option. You will then only get a message, when the Sender chooses to send a Notification message.

  • Define a Custom Profile Date field - an administrator will be able to define a date as a custom profile field. This feature is only available for the Enterprise service level.

  • Calendaring feature - allows calendar items to be created. This feature also includes an integration with Outlook for users who are using that email client. Calendar events can be created independent of documents or can be related to documents using the Custom Profile capability. It also provides a consolidated calendar view for each user. All of the calendar feature is protected using the same security as documents at the individual or group level. This feature is only available for the Enterprise service level.

  • Cabinet Admin Link - the Cabinet Admin link which is currently located on the Browse Cabinet page following the cabinet name, has been moved to the Cabinet Info page which is also displayed following the cabinet name. If a person is a Cabinet Admin, the Info link will have an asterisk. To access the Cabinet Administrators page, click the "Info" link, then select the "Admin" link next to the Cabinet Information page heading. The purpose of this change is to improve the display of the Browse Cabinets page for Administrators.

  • Browse Cabinets page links - for Corporate Account names and Cabinet names, if you click the name, it will now expand the same as if you click the "plus" symbol.

  • My Profile - is being changed to "My Account" to help avoid confusion with the document profile terminology.
    Designate required custom fields - if you have the Enterprise service and are using the custom profile fields feature, any field that you designate as required will be flagged with an asterisk on the Edit Profile page. This change is to streamline the profile creation process.

  • Notification Attachment Links are replaced with regular inline links - For all notifications and alert email messages, the attachment link will be eliminated and the link to the documents, NetBinder, or NetEnvelope will be via a link within the body of the email message. This change was made for ease of use and functionality.

  • Discussion feature - introduced which allows users to create discussions independent from documents with all of the security available for documents. This is a feature only available for the Enterprise level service. Sometime later in February, we will also introduce a new Comment or Note feature that will provide unlimited commenting capability at the document level. This feature is available through the Customized Profile feature for Enterprise customers.

  • Add Item - the "Add Document" option was replaced with an "Add Item" dropdown menu to provide a quicker access to the various methods to load documents into the system which will now include Calendar and Discussion items.

  • Folder Email Address - added an option which shows the unique email address associated with a specific folder. This address can be used to forward emails and attachments, directly into a specific folder in NetDocuments.

  • Grayed Out Options - when an option is not valid on a specific page, that option is now "grayed out" to help convey that it is not a valid option for the page being displayed. When selected, an explanation is given as to why it is not valid.

  • Other User Interface changes - a number of other improvements to the User Interface which should not require training are also released, including returning to the same location when you expand a folder in Browse Cabinets, instead of returning to the top of the page.

  • Receiving Product and Marketing Information - when a user is registered from within the Corporate Account Administrator's page, the option for that user to receive mailings from NetDocuments, is not checked. If the individual user wants to receive mailings which include the NetDocuments Newsletter, the user can change the flag in My Accounts. This change was made in an effort to help position the service for professionals and not use it for marketing purposes. We value our customers and strive to treat you in a manner consistent with that goal.
